Copilot Pages converts ephemeral Copilot Chat content into a persistent collaborative document. According to Microsoft Learn documentation, teams can edit, enrich, and share these summaries in real time. The "Page" button to the right of an answer immediately grounds it in your document workspace.

Pages is available to anyone with an enterprise SharePoint or OneDrive storage plan, with or without a Microsoft 365 Copilot licence. Pages are stored as .page files in your secure business container, guaranteeing full control over access permissions and version history.

Copilot Notebooks structures long-term document work. Rolled out to Copilot Chat users since mid-2026 across SharePoint and OneDrive, a notebook gathers up to three hundred files: Word documents, PowerPoint decks, Excel sheets, PDFs, or intranet pages.

The decisive advantage lies in strict source isolation: Copilot confines its reasoning exclusively to references stored in the notebook. Answers become rigorously traceable, eliminating ungrounded extrapolation and speeding up audits of complex dossiers.

A shared Page circulates like an ordinary office document. Always check the sensitivity label of each file before placing it into a notebook or Page. Name every resource clearly to simplify team collaboration.

Keep in mind that certain advanced capabilities, such as automated suggested edits documented in September 2026, require an add-on licence. Ground your everyday workflows in native, stable notebook functionality.

2Three procedures summarised and traceable

A corporate lawyer prepares a synthesis of three internal procedures for her operational team.

Weak prompt, asked in an ordinary conversation with the three files attached:

Summarise these three documents for the team.

Copilot produces a correct but blended summary, without specifying which document states what. The answer stays trapped in the chat thread, leaving no way for the team to co-annotate.

Strong prompt: Turn 1 (bounded synthesis inside an "Internal Procedures 2026" notebook):

Relying exclusively on the references in this notebook, draft a synthesis in three sections:
1) Common obligations across all three procedures;
2) Operational differences between them;
3) Key points covered by none of the procedures.
For each bullet, cite the document name and section supporting it. If a point is absent, state "not found in notebook". Format: bullets of at most 20 words, 250 words total.

Copilot generates the synthesis with formal citations for each bullet. Two missing points carry the explicit tag "not found in notebook".

Strong prompt: Turn 2 (clarifying escalation policies and converting to a collaborative Page):

Based on the differences identified in turn 1 regarding escalation deadlines, build a comparison table showing the timelines in Document A versus Document B. Add one recommendation sentence to align them.

Copilot generates the comparative table. The lawyer clicks "Page", turns the output into a durable document, and invites two colleagues to validate the recommendation.

What changes: the notebook isolates source documents, ensuring every statement is verified and gaps are highlighted. The Page preserves the final deliverable for collective review.

3Build a notebook and bound its sources

Choose a recurring project from your domain: committee preparation, thematic monitoring, or cross-functional tracking. Group three one-page sample documents into a Notebook with a reference web link. Here is the initial prompt to run:

"What is important in my files?"

Structure your prompt with an active verb and an explicit audience. Restrict Copilot to notebook references only, require a precise citation for each claim, and mandate "not found" for missing data.

Convert the response into a Page, proofread it against original documents, and assign a clear title. Invite a colleague to review the Page and add written comments directly.
